Damage Waiver & Security Deposits

Two line items appear on every online rental besides the rental rate and tax: the damage waiver and the refundable security deposit hold. This page explains both in plain language. The rental agreement you sign at checkout is the binding version.

Damage waiver

The damage waiver is a fee — 13% of the rental charge — that limits what you owe if the equipment is accidentally damaged during normal use. It is included on every online rental.

With the waiver, you are not charged for:

  • Accidental damage to the equipment that happens during proper use — a cracked housing from a drop, a bent trailer fender from a tight turn, a blown hydraulic hose.
  • Normal wear and tear.

The waiver does not cover, and you remain responsible for:

  • Theft, loss, or equipment that is not returned.
  • Damage from misuse, overloading, operating outside the manufacturer’s instructions, or use by an unauthorized operator.
  • Damage from operating without proper fluids or with a known malfunction, or from running equipment that was smoking, leaking or overheating.
  • Tires, tubes and tracks damaged by curbing, punctures or running flat; trailer damage from overloading, jackknifing or backing into objects.
  • Cutting teeth, blades, bits, hoses, cords and other consumables.
  • Damage that occurs while the equipment is in transit on your vehicle or trailer.
  • Vandalism or damage from leaving equipment unsecured.
  • Damage to your own property, a third party’s property, or injury to any person. The waiver is not liability insurance.

The waiver is not an insurance policy. If you carry an equipment floater or a commercial policy that covers rented equipment, ask at the counter about renting without the waiver on an on-account basis.

Security deposit hold

When your rental starts, we place a temporary authorization hold on the card you rented with. The hold is equal to the rental total — rental charge, waiver and tax — and is released after the equipment is returned, inspected and checked in.

  • It is a hold, not a charge. It reduces your available credit or balance but does not post as a transaction unless we need to collect for fuel, cleaning, late return, loss or uncovered damage.
  • Holds on debit cards can tie up funds in your checking account for the length of the rental plus your bank’s release time — typically 3–7 business days after we release it. A credit card is the better choice for long rentals.
  • On rentals longer than a week, the hold is renewed as it nears its expiry so that it stays in place until return.
  • If charges are due at return, we collect them from the hold and release the remainder. You receive an itemized invoice by email either way.

Non-card deposits

Cash-paying customers at the counter may be asked for a cash deposit or a card for the hold. On-account business customers are not subject to the hold; charges post to the account statement. Regular customers we know can have the deposit hold waived at our discretion — if you rent from us often, ask at the counter.
